01 Set Up Approval Rules

You can configure Approval Rules to control how invoices move through the approval workflow.

Accessing Approval Rules

  1. In the workflow canvas, click the Submit Approval# task to display Approval Rules. (See Screenshot)
  2. Select the rules you want to apply. For each rule, enter Yes, No, or specific criteria (such as an amount or keyword).

Important: Multiple rules within a task are combined using AND logic, not OR. All conditions must be met for the rule to apply.

Approval Rule Examples

Example 1: Approval Based on Amount

  • Use Case:
    • Invoices > $1,000 are approved by Doe@example.com.
    • Invoices ≤ $1,000 are approved by jane@example.com.
  • Configuration: Set up two separate rules—one for amounts $1,000 and another for amounts > $1,000 (See Screenshot below).

Example 2: Approval Required Only When Exceeding a Threshold

  • Use Case:
    • Invoices > $1,000 require approval from Doe@example.com.
    • Invoices $1,000 require no approval at this level and bypass the task automatically.
  • Configuration:
  • Option 1: Create two separate rules that applies only when the invoice amount exceeds $1,000, the approver is Doe@example.com (See Screenshot below).

  • Options 2: Create a single rule that applies only when the invoice amount exceeds $1,000. (See Screenshot below).

Example 3: Skip Approval if the Approver Has Already Approved

  • Use Case: In complex multi-level workflows, the same person might be assigned as an approver at multiple stages. Add a skip rule to avoid asking the same approver for redundant sign-offs.
  • Configuration: Enable the duplicate-approval skip rule by setting its value to Yes. (See Screenshot below)
