09. Credit Notes Processing

EzzyBills automatically detects credit notes and exports them directly as credit notes to your accounting software (such as Xero, QuickBooks Online, and MYOB).

You can rely on our automatic detection, or you can explicitly specify the document type during upload using one of the methods below.

I. How to Specify the Document Type When Uploading

If you want to guarantee a document is processed as a credit note, you can route it manually using either of these two options:

  • Option 1: Email Routing Email your credit notes to #.CreditNote@ezzybills.com (where # is your standard EzzyBills upload username). This automatically classifies the files as credit notes.
  • Option 2: Dashboard Upload Log into EzzyBills, go to the Dashboard, and look for the Advanced Upload box. Select “Credit Note” from the Document Type menu, then choose or drag-and-drop your files to upload.

II. Important Processing Notes

  • Supported Document Types: EzzyBills automatically detects both Supplier Credit Notes (vendor credits) and Customer Sale Credits (sales credit notes).
  • If a credit note is incorrectly processed as a bill: You can fix future instances by routing them to your specific credit note email alias (#.CreditNote@ezzybills.com). For the stuck document, simply email support@ezzydoc.com with the DocID or the original file attachment, and our team will correct it for you.
  • If a regular bill is incorrectly processed as a credit note: Please email support@ezzydoc.com with the DocID so we can adjust the learning rules for that supplier.

III. How Credit Notes Appear in Xero

Once exported from EzzyBills, credit notes flow seamlessly into Xero’s accounts payable or accounts receivable workflows.

1. In the Bills/Invoices List View

In your Xero transaction list, credit notes are easily identifiable by the small yellow “CR” logo next to the reference. The total dollar amount will also be displayed in parentheses to signify a negative/credit value.

2. View the Original Document

The original invoice or credit note PDF processed by EzzyBills is automatically attached to the transaction in Xero. You can view it by clicking the file icon on the far right of the row.

Below is an example of how the full itemized lines and accounting category tracking of a credit note appear when opened inside Xero.

IV. Credit notes to MYOB
