Approval Page Discount Improvements

Discounts are now shown automatically on the approval page when applicable, with invoice prices recalculated correctly when line items are edited.

Useful for: Giving approvers a more accurate view of discounted invoices and ensuring totals remain correct after changes.

Custom Approval Fields Improvements

Custom fields can now be displayed prominently at the top of the approval page when configured, rather than being limited to the custom values section.

Useful for: Making important invoice information easier for approvers to see and update.

Pricing Page Improvements

Standard features and pricing details have been added to both the Buy and Change Plan pages.

Useful for: Making it easier for customers to compare subscriptions and understand what is included in each plan.

HQ Approver & Reviewer Access Controls

The document upload section is now hidden for HQ Approvers and HQ Reviewers, as these roles are intended for reviewing and approving documents rather than uploading them.

Useful for: Providing clearer role permissions and tighter control over document access.

Bank Account Selection Fix

The bank account dropdown on the approval page now correctly supports multiple users or records that share the same bank account details.

Useful for: Ensuring all relevant options are available when duplicate bank account values exist.

Approver Learning Settings

New Approver Learning settings have been added under Settings → Approval & Expenses.

Useful for: Giving businesses greater control over how EzzyBills learns and applies approval information.

Procore Budget Code Matching Improvements

Budget code matching in Procore has been improved using project-specific codes, smarter matching, and AI to help identify the correct code for unmatched invoice lines.

Useful for: Improving coding accuracy and reducing manual work when allocating invoice lines to Procore budget codes.

Procore Project Matching Improvements

Purchase Order and Contractor Order number handling has been improved so EzzyBills can more accurately identify and match the correct Procore project.

Useful for: Reducing project-matching errors and helping invoices flow to the correct project automatically.

SharePoint Export Improvements

SharePoint exports can now be directed to specific Drives or Libraries and nested folders, while keeping the existing default export behaviour. The SharePoint export documentation has also been updated.

Useful for: Giving businesses more control over exactly where exported documents are stored in SharePoint.

Cin7 Tax Rule Fix

The TaxRuleFromContact option has been fixed so the correct customer tax rule is applied when creating Cin7 Sale Orders.

Useful for: Improving tax accuracy when exporting sales orders to Cin7.

Sale Order Comment Improvements

Sale Order exports will no longer repeat product information in the Comment field. If the comment is the same as the product name, the Comment field will be left empty.

Useful for: Keeping Sale Order information cleaner and avoiding unnecessary duplicate text.

Credit Note Access Improvements

A Dear Credit Note link has been added to both the View Document page and the EzzyBills dashboard.

Useful for: Making Credit Note functionality easier and quicker to access.

Solution Logo Fix

Activated solutions now keep their own individual logos, preventing logo changes made for one solution or user from affecting others.

Useful for: Keeping solution branding consistent and correctly separated between different activated solutions.

Simpro and Procore Discount Invoice Testing

Discount Invoice exporting has been successfully tested with both Simpro and Procore, with the expected results confirmed.

Useful for: Providing greater confidence that invoices containing discounts are exported correctly to Simpro and Procore.

AI Approval Email Template Improvements

Version 2 AI-generated approval email templates are now supported, with improved template quality, additional invoice fields, line-item placeholders, and better email rendering. Compatibility with Version 1 templates and approval actions has also been fully tested.

Useful for: Creating more detailed, flexible, and professional approval emails using invoice and line-item data.

Email Routing Infrastructure Improvements

The Postfix email infrastructure has been strengthened with updated setup, failover, recovery, security, monitoring, DNS, and SSL documentation. Mail2 failover readiness has also been verified.

Useful for: Improving email reliability, recovery processes, and continuity if a mail server experiences an issue.

AI Email Assistant & Workflow Improvements

The new AI Email Assistant functionality has been completed and prepared for team testing. A new “Don’t move mails to Bills Inbox” option has also been added, allowing emails to remain in the Inbox while maintaining the correct reply thread. Import behaviour and approval-status logging have also been improved.

Useful for: Giving users greater control over email handling, reducing duplicate imports, and improving visibility of approval activity.

Unleashed Integration

The new Unleashed connector has been implemented and successfully tested for connectivity. The integration task is now in place, with Purchase Order export functionality next in development.

Useful for: Giving Unleashed users a direct integration path with EzzyBills and preparing for automated PO export.

Purchase Order API Enhancements

Purchase Orders can now include an approver email address, and a new API endpoint allows invoice images to be uploaded with an additional tag.

Useful for: Supporting richer PO data and more flexible invoice image uploads through the API.

Expense Claim Cover Sheet Improvements

Expense claim cover sheets now show GST for each receipt, retain the total amount, and include Total Tax in the expense summary.

Useful for: Giving users clearer visibility of GST and total receipt values when reviewing expense claims.

Simpro Supplier Lookup Improvements

A new supplier lookup option allows suppliers to be matched by name only, with AI prompt support and logic to bypass PO or CO lookup when enabled.

Useful for: Improving supplier matching in Simpro when purchase order or customer order data is not required.

AI Delivery Address Matching

A new AI-powered address matching function compares extracted delivery addresses against existing customer addresses and returns the best match or a new address where needed.

Useful for: Reducing duplicate customer addresses and improving delivery address accuracy.

Gmail Approval Image Caching Fix

Approval status images now use unique filenames to prevent Gmail from displaying outdated cached images.

Useful for: Ensuring approval emails show the latest approval status more reliably.

MYOB PO Check Improvement

MYOB support has been added to the PO Check workflow.

Useful for: Extending PO validation workflows to MYOB users.

Simple Purchase Order Creation

A new Create Simple PO setting has been added to the Create PO task, allowing EzzyBills to use the simplified purchase creation API when enabled.

Useful for: Giving users more flexibility when creating purchase orders through integrations.

Concurrent Approval Improvements

Concurrent approvals have been improved so EzzyBills can better recognise when an approver is already a registered EzzyBills user. In these cases, the system can handle the approval more appropriately and avoid unnecessary waiting for other approvers.

Useful for: Making approval workflows faster and more reliable, especially where approvers are already EzzyBills users.

Concurrent Approval Across More Approval Levels

Concurrent approval is now available across approval levels 2–5, with more consistent behaviour and support for sending approvals when any matching rule is met.

Useful for: Giving businesses more flexibility when building multi-level approval workflows.

Xero Links in Approval Reports

Approval Reports now include a direct link to the related Xero Bill.

Useful for: Helping users move quickly from the approval report to the corresponding bill in Xero.

Unleashed Integration Improvements

Unleashed is now available as a connected application in EzzyBills, with secure account connection, validation, and dedicated AI task support.

Useful for: Preparing EzzyBills users to connect and automate workflows with Unleashed.

Enterprise Account Access Controls

Enterprise users can now be restricted to specific EzzyBills accounts while other users can retain access to all accounts.

Useful for: Improving security and visibility by ensuring users only see the accounts they are responsible for.

Cin7 Discount Export

EzzyBills can now export invoice line discounts to Cin7 and correctly calculate the discounted totals.

Useful for: Keeping invoice values accurate when discounts are included on supplier documents.

Cin7 Default Customer Contact Export

When creating a Cin7 sales order, EzzyBills can now use the customer’s default contact details, including name, phone, and email.

Useful for: Improving the accuracy of customer information sent to Cin7 sales orders.

New E40 Subscription Plan

A new E40 plan has been added to the EzzyBills Buy page.

Useful for: Giving customers another subscription option between existing plan levels.

Email Send History Improvements

The Email Send History page now supports CSV export and sorting.

Useful for: Making it easier to review, organise, and export email activity.

Invoice Approval Discount Support

Discounts are now displayed and saved correctly on the invoice approval page.

Useful for: Keeping invoice totals and approval information accurate when discounts are applied.

SOC 2 Report Completed

The latest SOC 2 report has now been completed and shared internally.

Useful for: Supporting EzzyBills’ ongoing security, compliance, and customer assurance requirements.

Tracking Display Improvements

Tracking values containing the | character are now handled correctly and displayed as expected in EzzyBills, including values coming from Xero and Simpro.

Useful for: Keeping tracking information consistent between EzzyBills and connected systems.

Xero Error Log Improvements

Xero error logging has been improved to provide clearer error messages directly in the Dashboard. Instead of showing raw or unclear error details, EzzyBills now maps Xero errors into a more readable format so users can better understand what went wrong and what needs attention (screenshot)(screenshot).

Useful for: Making Xero export issues easier to identify, reducing confusion, and helping users or support teams resolve errors faster.

AI Token Usage Tracking

EzzyBills now supports AI token usage tracking for AI-powered features. The system records token consumption associated with AI tasks and other AI functionality, helping provide better visibility over AI usage within the platform (screenshot).

Useful for: Monitoring AI usage, understanding token consumption, and improving visibility over how AI-powered workflows are being used.

Editable File Preview for More File Types

EzzyBills now supports previewing and editing more file types, including PNG, JPG, CSV, HTML, TXT, and other non-PDF files. These files can now be viewed in the File Preview section on the Document Details and Approval pages, with an Edit Document button available for supported file types. Files uploaded in the Notes tab can also be previewed (screenshot).

Useful for: Reviewing and editing supporting files directly in EzzyBills without needing to download, update, and re-upload them.

Solution Selection During Registration

The Register page now supports solution selection. Users can search for and choose a solution during registration. If someone starts a trial from a specific solution on the website, they will be redirected to the Register page with that solution already selected.

Useful for: Helping new users start their trial with the right EzzyBills solution already chosen, making setup faster and more relevant to their needs.

Developer Portal Launch

The EzzyBills Developer Portal has been launched with basic functionality. Developers can now register, sign in, create a developer role for an existing account, or create a new account. They can also register an application to obtain a Client ID and Client Secret for integrating with the EzzyBills API. The API documentation and portal home page have also been updated.

Useful for: Making it easier for developers and partners to start building integrations with the EzzyBills API.

WorkflowMax PO Balance and Stock Receipt Visibility

WorkflowMax approval notes now show more information when bills are matched against purchase orders. Customers can see how much of a PO amount is still remaining when multiple bills are added against the same PO. If stock receipt is enabled in the WorkflowMax export settings, the approval notes can also show whether stock is partially received, fully received, or awaiting stock (screenshot).

Useful for: Giving approvers better visibility over PO usage, remaining balances, and stock receipt status before approving or exporting bills.

Automate Statement Reconciliation Solution

A new Automate Statement Reconciliation solution has been completed. Once activated, the solution automatically creates the required workflows, scheduled agents, and Xero integration settings. It supports Office 365 and Gmail Email Sync, allowing supplier invoices and statements to be imported automatically into EzzyBills. Invoices are exported to Xero, while statements are processed through Statement Reconciliation (screenshot)(screenshot).

Useful for: Automating supplier statement reconciliation from email import through to Xero matching, reducing manual checking and helping finance teams identify pending or fully reconciled statements faster.

Statement Reconciliation Scheduled Agents

Two scheduled workflow agents have been added for statement reconciliation (screenshot).

Reprocess Statement Reconciliation reprocesses pending reconciliation documents using the latest invoice information from Xero and automatically archives statements that are fully reconciled.

Statement Reconciliation Summary generates a reconciliation summary report and emails it to the configured Finance Email Address. The report includes the Statement ID, Supplier, Reconciliation Status, and a View Statement link.

Useful for: Keeping statement reconciliation up to date automatically and giving finance teams a regular summary of pending and reconciled supplier statements

Statement Reconciliation Summary Report Settings

A new workflow setting page has been added for the Statement Reconciliation Summary Report task. This allows reporting settings to be configured for the scheduled statement reconciliation summary process (screenshot).

Useful for: Giving users more control over how statement reconciliation summary reports are generated and sent.

Email Send History App

A new Email Send History app has been added in the EzzyBills Apps section. This includes email recipient subscription management, with search, subscribe, and unsubscribe support. Server-side page filtering has also been added to improve performance and usability (screenshot).

Useful for: Managing email recipients more easily, tracking subscription status, and improving visibility over email communication from EzzyBills.

Credit Note Send for Approval

A new Credit Note Send for Approval setting has been added in the submit approval settings. When enabled, all credit notes will be sent through the approval workflow regardless of other approval rules (screenshot).

Useful for: Ensuring credit notes are always reviewed before processing, giving businesses better control over credit note handling.

Improved Export Email Unsubscribe Handling

New Export Email settings have been added to exclude unsubscribed recipients and prevent duplicate emails. A backend check has also been implemented to always verify the unsubscribe list before sending, ensuring emails are not sent to unsubscribed recipients (screenshot).

Useful for: Improving email compliance, reducing duplicate emails, and making sure unsubscribed recipients are properly excluded from future communications.

MYOB Approval GL Code Override

A new MYOB Export setting has been added to allow approval GL codes to override the export coding. When enabled, GL codes selected or applied during approval can be used during MYOB export (screenshot).

Useful for: Giving approvers more control over final GL coding before export to MYOB and reducing manual corrections after export.

Send Approval Emails from Your Own Account

A new global setting has been added that allows approval emails to be sent from your own connected email account.
This can be enabled from:
Settings → Approval & Expenses → Approval Workflow Settings – Advanced → Send Approval Emails from your own account
When enabled, approval emails are sent using your own email account rather than the default EzzyBills sending address (screenshot).

Useful for: Making approval emails look more familiar to approvers, improving trust and recognition, and keeping approval communication aligned with your business email setup.

PO Variance Approval Rule

A new approval rule has been added to compare the PO total against the invoice total. If the difference between the PO total and invoice total is greater than a set amount, the document can be automatically sent for approval (screenshot).

Useful for: Flagging invoices where the billed amount is higher or significantly different from the original purchase order, helping teams catch pricing issues before export or payment.

Mixed-System Approval Display

A new approval rule has been added that allows the approval page to display order information from one connected system, while showing the remaining invoice details from another system (screenshot).

Useful for: Workflows where order data and invoice data come from different systems, giving approvers the information they need in one place without switching between platforms.

Default “Not for Me” Approver

A default approver can now be set for when someone selects Not for Me during approval. When selected, EzzyBills can automatically populate who should approve the document next, while still allowing the user to override the suggested approver if needed (screenshot).

Useful for: Reducing approval delays when invoices are sent to the wrong person and helping documents move to the correct approver faster.

Improved User Permissions

Significant changes have been made to user permissions, giving businesses greater control over what each user can access and do in EzzyBills. The main update is that approver accounts can now only see invoices assigned to them for approval. For example, if an approver account uses support@ezzydoc.com, that user will only see invoices waiting for approval by support@ezzydoc.com (screenshot).

Useful for: Improving privacy, reducing clutter for approvers, and ensuring users only see the documents relevant to their role.

Simpro Catalog Group Setting

You can now set the Catalog Group in Simpro where all new items created by EzzyBills should be stored (screenshot).

Useful for: Keeping newly created Simpro items organised in the correct catalog group and reducing manual cleanup after invoice processing.

Useful for: A simpler and faster way to connect to SimPro.

AI Agents

A new implementation called AI Agents has been added. AI Agents can automatically run selected workflows on a schedule. You can add AI tasks to your workflow to observe some event which can then trigger an action based on the event. Simply choose the workflow you want to automate, set when it should run, and decide how often it should repeat (screenshot).

Useful for: This is particularly useful for EzzyBills Apps or workflows that need to run periodically, such as running a Waiting Approvals Report each week to identify documents stuck in approval.

Editable File Types in View/Edit Documents

EzzyBills now supports viewing and editing CSV, HTML, TXT, and JSON files directly from the View/Edit Documents page. Users can open these file types, make changes, and update the document without leaving the page (screenshot).

Useful for: Making quick corrections to supported file types without needing to download, edit, and re-upload them.

Solutions Menu Update

The Solutions menu has been moved above Workflows for easier access. When a solution is activated, it will now appear on the Dashboard beside Upload. If no solution is activated, the Dashboard will remain unchanged (screenshot).

Useful for: Making activated solutions easier to find and use directly from the Dashboard.

AI Tasks for Statement Reconciliation

A new global solution has been created to allow AI tasks to be added to the statement reconciliation workflow. This allows AI to modify statement table data before reconciliation takes place (screenshot).

Please note: This solution uses a different workflow task from the standard statement workflow. For AI-supported statement workflows, the AI task must be added between Statement Extract and Statement Reconcile (screenshot).

Useful for: Customising and cleaning statement table data before reconciliation, helping improve accuracy and reduce manual adjustments.

Mobile App Approval Enhancements – iOS Only

HQ approvers can now use the mobile app to approve invoices sent to them, not just invoices waiting for approval. Users will also be able to view documents captured on their phone that are waiting for review (screenshot).
Useful for: Managing approvals and reviewing documents on the go, helping keep workflows moving outside the office.
A new setting has been added under Account Settings allowing businesses to require mobile users to enter notes before approving documents (screenshot).
Useful for: Improving approval accountability and ensuring additional context is captured during the approval process. Android support will be available in the near future
You can now set or update the Purchase Order during the approval process (screenshot).
Useful for: Giving approvers more flexibility to correctly assign invoices before export, reducing manual corrections later.

AI-Powered Questions in AI Tasks
AI Tasks can now answer custom questions directly within a workflow (screenshot).
For example, you can ask AI to:

  • Find the tax rate for a Canadian province such as British Columbia
  • Search the internet for information such as a store address or business details

Useful for: Dynamically retrieving information during workflows, reducing manual lookups and allowing workflows to make smarter decisions automatically.

Dashboard Upload Date Sorting

Documents on the dashboard can now be sorted by uploaded date (screenshot).
Useful for: Quickly finding and reviewing the most recently uploaded documents.

Simplified User & Approver Setup

Users can now be assigned as either a User or Approver directly during setup, removing the need to first create them as a user before changing their role (screenshot).
Useful for: Faster and simpler user management during onboarding.

Default Upload Type

You can now set a default upload type, allowing EzzyBills to process more than just invoice documents natively. Currently, the default upload type is invoices, however this can be manipulated to which ever document type you’d like to dynamically transform the EzzyBills experience from AP automation to any approval automation workflow (screenshot).
For example: EzzyBills is able to extract any data from any document and the document can be sent to be approved, it is not restricted by invoices.
Approvals are no longer limited to invoices. Businesses can now create approval workflows for other document types as well.

Useful for: Supporting different document types such as consignment, legal, or other operational documents within the same workflow system.

Duplicate AI Tasks

AI Tasks can now be duplicated and modified, making it easier to reuse existing logic while tailoring workflows for slightly different use cases (screenshot).
Useful for: Reducing setup time and speeding up workflow creation.

QuickBooks PO Data Copying

For QuickBooks users, account codes and tracking data can now be copied directly from Purchase Orders to invoices.
Useful for: Improving coding consistency and reducing manual entry during invoice processing.

Custom Approval Email Templates

You can now create custom approval emails using AI. Go to EzzyBills > Apps > Customise Approval Email, describe what you want, and generate a template. Templates can be added to workflows, allowing different approval emails for each approval task. You can also set a default template, which will be used unless overridden by a workflow (screenshot).
Useful for: Creating tailored approval emails for different workflows, improving clarity and communication with approvers.

Email Body with Attachments Alias

A new alias, BODYWITHATTACHMENT, has been added in the Start task. This can be set as the default alias or used directly when emailing documents into EzzyBills. When used, EzzyBills will create a document from the email body and include any attachments with it (screenshot).
Useful for: Capturing supporting attachments when there is no invoice, so the full email content and related files are kept together for processing or review.

Restricted User Access

A new access type, Restricted User, has been added. Previously, EzzyBills supported three access levels: Admin (full access), HQ User (full access), and Approver (limited to HQ and Dashboard with access only to assigned documents). When enabled in Global Settings, HQ users will be restricted to accessing only the HQ and Dashboard, while still being able to view all documents (screenshot).
Useful for: Limiting navigation access for HQ users while still allowing full document visibility.

Solution Search Enhancement

The system now searches both the solution name and solution description. This improves search accuracy and makes it easier to find relevant solutions (screenshot).
Useful for: Quickly locating solutions even when keywords are only mentioned in the description, not the name

Approval Email Resend Frequency by Workflow

A new ResendFrequencyInMinutes setting has been added to the Start Task. This allows approval email resend timing to be configured per workflow, instead of only using the global user setting. If this setting is added to a workflow, EzzyBills will use that value to determine when approval emails should be resent. If it is not set, the existing user setting will continue to apply (screenshot).
Useful for: Customising approval reminder frequency for different workflows, such as resending approval emails every 10 minutes for time-sensitive approval processes.

OneDrive & SharePoint Export – PDF with Stamp Support

Enhancements have been made to ensure stamps/watermarks are preserved when exporting documents to OneDrive and SharePoint (screenshot).
A new workflow setting “Export the PDF version” allows the system to export a PDF (with stamp) instead of a .jpeg image (screenshot)(screenshot).
Useful for: Ensuring stamped or watermarked documents are retained correctly when stored in OneDrive or SharePoint.

ServiceTitan – Materials & Equipment Differentiation

Improvements have been made to ServiceTitan job cost workflows to differentiate between materials and equipment when looking up parts. The system now considers both categories during processing (screenshot).
Useful for: Ensuring accurate item selection and cost allocation in ServiceTitan for both materials and equipment.

Service Titan Search Enhancements for Item Code & Tracking

A new search button has been added for Item Code and Tracking lists, using API-based search for faster and more flexible lookups. For Purchase Orders and Account Codes, search continues to use already fetched data (screenshot)(screenshot)(screenshot)(screenshot).
Useful for: Making it easier and faster to find the correct item codes and tracking values during document processing.

QBO Sales Invoice Tracking

Support has been added for Location and Class tracking at the line-item level for QuickBooks Online. Tracking values can now be set per line item and will be included when invoices are uploaded (screenshot)(screenshot).
Useful for: Providing more detailed tracking and reporting in QBO by assigning Location and Class at a granular level.

Cin7 Integration – Direct Freight (Courier)

A new CarrierName field has been added to workflow settings for Cin7 integration. This value is now included in the Sales Order when processing documents (screenshot)(screenshot).
Useful for: Capturing and passing courier or freight details directly into Cin7 for more accurate order tracking.

ServiceTitan Enhancements

ServiceTitan integration has been enhanced with improved automation and control.
Workflows now support auto-restart after updating a ServiceTitan order (screenshot).
A new Price Check & Update feature allows item costs to be updated in the Pricebook when discrepancies are detected (currently for ServiceTitan export)(screenshot).
Additional logging has also been added to email and invoice logs (screenshot)(screenshot).
Useful for: Improving accuracy and automation when syncing with ServiceTitan, while providing better visibility through enhanced logging.

Email Update in Xero

Email addresses can now be set or updated in Xero using the AI Extract task.
When creating a new contact, the extracted email is added automatically. For existing contacts, the email can be updated if a valid company ABN is provided.
Useful for: Keeping contact details in Xero up to date automatically, reducing manual maintenance of supplier records.

Purchase/Contractor Order Workflow Switch Task

A new task has been created to automatically switch workflows based on the order type (initially supporting Procore).
The task uses two workflow settings: POWorkflow and COWorkflow to determine the correct path (screenshot)(screenshot).
Useful for: Automatically routing documents to the correct workflow (purchase order vs contractor order), reducing manual decision-making and setup errors.

Workflow & Task Settings Enhancements

Several new settings have been added to improve control and flexibility across workflows and tasks.
The Check PO Exist task now includes an allow complete option (screenshot).
A new requireNotesOnMobile setting ensures users must add a note when uploading documents from mobile (screenshot).
The ResendFrequencyInMinutes setting in the Start Task allows more precise control over how often approval emails are resent (screenshot).
Useful for: Improving workflow control, enforcing better data capture on mobile uploads, and managing approval email reminders more effectively.

Xero Item Creation Enhancements

New workflow settings have been added to give more control when creating items in Xero.
The useDescriptionAsItemName setting allows the item description to be used as the item name instead of the item code (screenshot).
The addGlCodeWhenCreatingItem setting automatically assigns the GL account code to the item during creation, using either the header or line-item GL code (screenshot).
Useful for: Ensuring items created in Xero are named and coded correctly by default, reducing manual adjustments after export.

SimPro Contractor Job Cost Workflow

EzzyBills now supports exporting expenses to SimPro as contractor work orders, then receipting them through the workflow. This is designed for labour-related job costs, where SimPro uses a contractor work order instead of a purchase order. When uploading the expense, the job and contractor need to be assigned so the document can be processed correctly (find out more here).
Note: This differs from the standard Job Cost workflow, which is used for material costs and creates a purchase order instead.
Useful for: Processing labour-based job costs in SimPro more accurately, using the correct workflow for contractor expenses instead of material purchases.

Automatic Cover Sheets for Expense Claims

Expense claims and invoice batches now automatically include a cover sheet at the front. There is no setup or configuration required. This ensures documents are clearly organised and easier to review (screenshot).
Useful for: Providing a clear summary page for claims and batches, improving readability and making approvals more efficient.

Xero Quote Creation Support

EzzyBills now supports creating and exporting quotes directly to Xero.
To enable this, go to the workflow settings for Extract, then set the Document Type to CustomerQuote, allowing documents to be processed and exported as quotes instead of bills (screenshot).
This feature is also now available to be activated through the Solutions tab called Create Xero Quote (screenshot).
Useful for: Sending customer quotes into Xero without manual re-entry, helping teams manage sales documents more efficiently.

Export Documents to SharePoint

A new worktask in Workflows has been added to export documents directly to SharePoint. It is called Export SharePoint (screenshot).
After connecting your Microsoft 365 account (including enabling SharePoint access), you can configure the export by specifying the SharePoint URL and target site (screenshot)(screenshot).
This allows documents to be automatically stored and managed within your SharePoint environment.
Useful for: Automatically filing processed documents into SharePoint for easier storage, access, and team collaboration.

Dynamic Workflow Settings via AI Tasks

Previously, workflow settings were fixed, meaning different outcomes (e.g. either draft or approved). You can now dynamically control workflow settings using AI tasks, allowing values like export status to be set per document during processing.
For example: to set a workflow setting value via an AI task, your prompt would be like this (screenshot)
This enables more flexible and automated workflows without needing multiple workflow setups.
Note: Workflow settings are added to the document form data, and any values set via form data will override the default workflow settings.
Useful for: Handling different document outcomes within a single workflow, such as exporting some invoices as Draft and others as Approved.

Improved Task Stop and Restart Handling

Tasks can now be stopped and restarted more effectively when required data is not yet available by implementing a simple AI task.
For example, if an AI task checks for an invoice number and it has not been set yet, the task can stop and retry later instead of failing or continuing with incomplete data. Your prompt can look like this (screenshot).
Note: Tasks should not be set to “sleep” for long periods (more than 15 minutes), as tasks running too long may be automatically terminated along with the upload itself.
Useful for: Preventing task failures when key data is missing and allowing workflows to resume automatically once that data becomes available.

AI Task Email Body Reading

When creating any AI task, they can now read and utilise the email body content during processing.
See the example here (screenshot)
This enables more context-aware automation based on information within the email.
Note: The email body must be saved using the SaveEmail alias or add the following in the Start task settings (screenshot).
Useful for: Capturing instructions or reference details sent in the email body and using them to guide document processing.

AI Task Wait Until Future Time

AI tasks can now pause a worktask until a specified future time, then automatically restart it (screenshot). Here is an example of an AI task executing this task (screenshot).
The workflow log will show when the task has stopped, when it is scheduled to restart, and when it resumes.
Note: Wait times must be set in UTC, so local times need to be converted using the customer’s timezone.
Useful for: Scheduling actions such as sending approval emails at a specific day or time without manual follow-up.

Supplier Default GL Code + Tracking via AI Task

A new task (Set the Suppliers Default tracking and GL Code) can now pull a supplier’s default GL code and tracking from the Contacts > List and automatically apply them to the uploaded document (screenshot).
When added before approval, the supplier defaults are set before the document reaches the approver.
Note: This is a simpler alternative to the existing SetAccountCode task, which uses more complex logic and does not support tracking.
Useful for: Automatically applying supplier-specific coding before approval, reducing manual edits and giving approvers cleaner, more accurate documents to review.

All Approvals Access + Security Settings

Approvers can now access all their current and past approval documents via the “All Approvals” link for up to 3 months after receiving an approval email.
A new setting has been added under Settings > Email to control access. When set to No Access after document approved, the link is disabled once the document is approved or rejected (screenshot). This provides greater control over how long approval links remain accessible.
Useful for: Giving approvers easy access to pending and past approvals, while allowing businesses to enforce stricter security when needed.

Scheduled Workflows

Workflows can now be scheduled to run automatically at set times, making it easier to automate recurring tasks without relying on event-based workflows. You can choose which workflow to run, when it should start, and how long to wait before the next execution. This is best suited to workflows that are not triggered by uploaded documents, such as recurring AI tasks or reminder processes (screenshot).
Useful for: Running scheduled actions like weekly reminder emails for invoices still waiting on approval.

AI Web

AI Web is a new feature that works like an AI task, but instead of running code, it operates through a web browser.
You can give it instructions to complete browser-based actions, such as logging into systems, uploading documents, navigating websites, or gathering information.
This allows workflows to interact with web platforms in a more flexible and automated way.
Useful for: Automating tasks that need to be completed in a browser, such as collecting information, or comparing content across websites.
